Job Description
We are seeking a highly organized and proactive professional to provide comprehensive administrative and executive support to senior leadership. The role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining discretion and professionalism.
Key Responsibilities
Calendar & Schedule Management: Manage complex executive calendars, prioritize tasks, resolve scheduling conflicts, and ensure seamless time management.
Meeting Coordination: Organize and coordinate meetings, including preparing agendas, arranging logistics, setting up video conferences, and ensuring timely follow-ups on action items.
Travel Management: Plan and coordinate domestic and international travel, including flight and hotel bookings, visa processing, transportation, and itinerary management.
Presentation & Documentation: Prepare, edit, and format high-quality presentations, reports, and business documents for leadership meetings and external stakeholders.
Event Planning: Lead coordination of corporate events, conferences, and team offsites, handling venue selection, logistics, vendor management, catering, and post-event activities.
Records & File Management: Maintain organized filing systems (electronic and physical), ensuring accuracy, accessibility, and compliance with company standards.
Attention to Detail: Deliver error-free documentation, schedules, and reports with a high degree of accuracy and efficiency.
Desired Experience & Qualification
Education:
- Bachelor’s degree is a must
- A Master’s degree or diploma in Office Management / Executive Assistance will be an added advantage.
Experience:
- 5–10 years of proven experience as an Executive Assistant, Executive Secretary, or similar role supporting senior leadership (CXO / Director level).
- Prior experience in a corporate, multinational, or fast-paced business environment preferred.
- Experience managing confidential information, high-level communication, and cross-functional coordination.
Skills & Competencies:
- Excellent written and verbal communication skills in English (additional language proficiency is an asset).
- Strong organizational and multitasking abilities with meticulous attention to detail.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (Zoom, Teams, Google Workspace).
- Demonstrated ability to manage multiple priorities, deadlines, and stakeholders with professionalism.
- Strong interpersonal skills, discretion, and a high level of integrity in handling sensitive information.
- Ability to work independently with minimal supervision and take initiative in problem-solving and decision-making.
